Intake & Referral FAQs

If your child has never been seen at the Children’s Program before (even if they have a sibling who has), they are a new client. Please complete a new client inquiry.

Intake staff will review your inquiry; if we have available providers who can address your needs, we will invite you for a phone screening to match you with a clinician and schedule an initial consultation. If we do not have availability, we will still follow up to let you know, and may include external referrals for you to pursue.

If your child last attended an appointment at the Children’s Program more than 6 months ago, they are a returning client. Please complete a returning client inquiry, so we can ensure all your information (address, insurance, etc.) is up to date.

If your child last attended an appointment at the Children’s Program within the last 6 months, they are a current client.

If your child has seen more than one clinician, it is possible they are current to one, but not to another. For example, you child may have seen one of our MDs for medication management a month ago, but not have seen their therapist for six months or more.

If you are current client who is interested in resuming a past service or establishing a new service (for example, your child sees a therapist and you would like to meet with a physician to discuss medication), please reach out to your current clinician (the one you saw most recently) and ask them to place an in-house referral for you.

We consider each child individually, so if you have one child who is a current client and another who has never been seen before, the sibling will be a new client.

Families seeking to begin treatment for multiple children at once: Please submit a new client inquiry for one child at a time. We will establish services for one child at a time; after you have begun treatment for the first child, you can submit an inquiry for a sibling/second child.

We understand that there is a high need in the community for children’s mental & behavioral health services. The Children’s Program intake team reviews every inquiry we receive, but we do not have the capacity or expertise to serve everyone. We review inquiries in real time, review providers’ current caseloads, and respond based on whether a) any of our clinicians have appropriate expertise to meet your needs as you describe in your inquiry and b) an appropriate clinician has room to add new clients to their caseload.

We are not able to keep an active wait list. If we do not have available providers to meet your needs at the time you reach out, we encourage you to keep looking elsewhere. We are always looking for new providers to join our practice and help us shorten wait times, so you are welcome to reach out again in 3-6 months to see if our availability has changed.

Currently, those clinicians at the Children’s Program who are taking new clients are booking anywhere from 8-24 weeks from the date of your intake phone call. Timelines and waits vary based on clinical presentations

Wait times may be considerably shorter for families who are willing to work with a provider-in-training (practicum student, intern, or resident). All providers-in-training are supervised by licensed staff clinicians.

At Children’s Program, we are committed to helping everyone in our community access high-quality mental health services. We understand the high cost of mental health care when paying out-of-pocket for services. Therefore, we offer several reduced/alternative cost services, provided by our licensed clinicians, postdoctoral fellows, and predoctoral trainees.

If you are a current client, your clinician may place an in-house referral for you to consult with another provider in our practice. You will need to schedule a phone call with a member of the Intake & Referrals team to discuss options and schedule with the new provider.

If your clinician has noted that they will place the referral through your chart, the intake team will email you an invitation to schedule a call within a day or two. Don’t forget to check your spam/junk mail folder in case it catches our email!

If you are a provider looking to refer a client to us, please direct the client to this page to complete an inquiry form. You can send any additional documentation via fax at (503)452-0084.

Please note that we operate on a passive referral system, so we require prospective clients to complete an inquiry form before we contact them.

The intake team is available for phone calls by appointment only.

The best way for new & returning clients to get in touch is to complete an online inquiry form. The team will review your information and reach out within 5 – 7 business days.

Current clients can email info@childrensprogram.com to inquire about the status of an in-house referral. If your clinician has placed a referral and you are waiting to hear from us, we recommend you check your spam/junk folder in case an email from childrens-program-outgoing-messages@childrensprogram.com got caught there.
